Many owners hear the word CRM and think it is only for big companies. It sounds costly. It sounds difficult.

It is neither. A CRM is one place where every customer of your business is written down. Their name, their number, what they asked, what they bought and when you have to call them next.

Think about how it works today. One customer's number is in the salesman's phone. Their last order is in a WhatsApp chat. The quote you sent is in someone's email. The promise to call back on Friday is in somebody's head.

When that salesman leaves the customer often leaves with him.

A CRM keeps all of this on one screen. Anyone in your team can open a customer and see the full story in a few seconds. Every call, every quote and every follow-up.

It is your old customer register. Only now it does not get lost, it can be searched and it reminds you on its own.

What a simple CRM holds

  1. Every customer in one list. Name, number, city and what they are interested in. You can find anyone in seconds.
  2. Every call and chat noted. After each call your staff writes two lines. The next person knows what was said.
  3. The next follow-up date. The CRM reminds the right person on the right day. Nobody has to remember.
  4. Quotes and orders against each customer. You can see what they asked for last time and at what price.
  5. One view for the owner. You see how many enquiries came, who is handling them and which ones are still open.

Mistakes to avoid

  • Buying a CRM with a hundred screens your staff will never open
  • Letting each salesman keep his own Excel sheet on the side
  • Making the form so long that nobody fills it after a call
  • Starting without deciding who will update it every day

Start with what you already have. Collect the customer numbers from phones, registers and old bills into one list. That list is the start of your CRM.

A CRM made for your business can also talk to your WhatsApp, your website form and your billing. Then a new enquiry goes into it on its own and nobody has to type it again.

What to do in the next 7 days

  • Day 1: Collect customer numbers from every phone, register and old bill in your business.
  • Day 2: Put them in one sheet with the name, the city and what they bought.
  • Day 3: Write down how an enquiry moves today from the first call to the bill.
  • Day 4 to 7: Ask one person to note every customer call for a week and see what you learn.
