Someone fills your enquiry form on Monday. Your team is busy with delivery. They call on Thursday. By then the customer has bought from someone else.

This happens in many businesses. The owner spends money on ads and hard work on content. Enquiries come. Then they are lost in a notebook or in a WhatsApp chat that went down the list.

The problem is not the team. They are doing ten things at a time. The problem is that follow-up depends on memory. Memory fails on a busy day.

When a system does the remembering no lead is forgotten.

You do not need costly software for this. You need one place where every lead is written and a reminder that comes on its own.

A simple follow-up system

  1. An automatic reply the moment a lead comes. It says thank you and tells when your team will call. The customer knows you got the message.
  2. A reminder to your team the same day. The lead goes to one person by name. When it is everybody's job nobody does it.
  3. A second message after 3 days. Short and polite. Ask if they have any question.
  4. A last message after 7 days. Then stop. Three messages are enough. After that it becomes disturbing.

Mistakes to avoid

  • Calling five times in one day
  • Sending the same copy paste message to everyone
  • Writing leads in three different places
  • Not writing why the customer said no

Note the reason when a lead does not buy. Price, timing or trust. After one month you will see one reason more than the others. Fix that one reason and more leads will close.

This one habit is more useful than many new ads.

What to do in the next 7 days

  • Day 1: Collect every enquiry of the last month in one sheet. From the notebook, the chats and the email.
  • Day 2: Mark which ones got a second message and which ones did not.
  • Day 3: Give every new lead to one person by name.
  • Day 4 to 7: Send one polite message to the old leads that got no reply. Some will still answer.
